Assistant Construction Manager

The Assistant Construction Manager supports the Construction Manager in the day-to-day management of one or more active construction projects. This is a hands-on role with significant exposure to all aspects of project delivery and is an excellent growth opportunity for candidates building a career in construction management.

The ACM is responsible for coordinating field activities, maintaining project documentation, processing financial transactions, and ensuring consistent communication among project stakeholders. This is a hybrid position based in Irvine, CA with site visits and remote flexibility.

Key Responsibilities

Project Coordination & Field Support
• Assist the CM with scheduling, scope coordination, and tracking of project milestones.
• Attend site visits, document field conditions, and report observations to the CM.
• Coordinate with contractors on outstanding action items, RFI responses, and submittal reviews.
• Support permit coordination by tracking application status, agency correspondence, and approval dates.


Documentation Management
• Maintain complete and current project files in Procore and shared drives, including correspondence, submittals, RFIs, photos, and reports.
• Prepare and distribute meeting minutes with action items following project meetings.
• Log and track incoming and outgoing correspondence, ensuring timely follow-up.
• Organize and maintain the contract log, tracking agreement status, compliance documents, and expiration dates.
Financial & Contract Support
• Assist in the collection, review, and logging of monthly invoices from contractors, consultants, and vendors.
• Verify that supporting lien waivers, insurance certificates, and change order approvals are attached prior to processing.
• Assist in assembling monthly billing packages for ownership review and transmittal.
• Maintain the change order log and update contract values as approvals are received.
• Track retention balances and flag discrepancies to the CM.


Compliance & Quality Control Support
• Support CWA/DAS/prevailing wage compliance data collection and reporting as directed by the CM.
• Assist with quality control spot-checks and document any field deficiencies for CM review.
• Help verify that contractor corrective actions have been completed and recorded.
• Support the preparation of closeout packages, including collection of lien waivers, warranties, O&M manuals, and as-builts.


Procore Administration
• Upload pay applications, change events, and project photos to Procore.
• Ensure files are correctly linked to commitments and cost codes.
• Assist with Procore onboarding and training for new project participants.
• Maintain current project directory, including contractor, consultant, and vendor contact information.

Requirements

• Bachelor's degree in Construction Management, Engineering, Architecture, or related field; equivalent experience considered.
• 2-5 years of experience in a construction management, project coordination, or owner's representative support role.
• Working knowledge of construction processes, contract documents, and project lifecycle phases.
• Proficiency in Procore strongly preferred; solid skills in Microsoft Office (Excel, Word, Outlook).
• Strong organizational skills and attention to detail, with the ability to manage multiple projects simultaneously.
• Good written and verbal communication skills; ability to interact professionally with contractors, consultants, and clients.
• Familiarity with California prevailing wage or CWA compliance is a plus.
